Batch Patient Import

How to import many patients and run eligibility checks for them

Overview

Batch Patient Import allows you to add multiple patients at once using a CSV file generated from the app. You can optionally run eligibility checks via Universal Search during import, or simply add patients without checking eligibility.

CSV Template Requirement

All batch imports must use the CSV template downloaded from the app. This ensures the file structure matches our system.

To get the template:

  1. Go to Add Patient in the app

  2. Click Import patients

  3. Download the provided CSV template

  4. Fill in your patient data using the existing columns. Do not rename columns.

Import Options & Limits

When importing, you’ll choose one of the following options:

Import with Universal Search

  • Runs eligibility checks for every patient using Universal Search

  • Maximum: 100 patients per import

  • Recommended when you want eligibility results immediately

Import without Eligibility

  • Adds patients without running eligibility checks

  • Maximum: 1,000 patients per import

  • Ideal for onboarding or data migration

Note: You can always run eligibility checks later for patients imported without Universal Search.

How to Import Patients

  1. Navigate to the Patient list

  2. Click Batch Import

  3. Download and complete the CSV template

  4. Upload your completed file

  5. Select whether to run Universal Search

  6. Review the summary and start the import

You’ll see real-time progress once the import begins.

After the Import

  • Successfully imported patients will appear immediately in your patient list.

  • If any rows fail, you’ll receive details explaining why (e.g., missing required fields or exceeding import limits), so you can correct and re-upload.

Common Tips

  • Only use the CSV template provided in the app. Custom formats are not supported.

  • The order of columns in CSV file doesn't matter; you can rearrange them however you like.

  • You can remove unnecessary columns; first_name, last_name, and dob are the only required ones.

  • Stay within the patient limits based on your selected import type

  • Double-check required fields before uploading to avoid errors

  • If you do not have Universal Search enabled on your account, you will only be able to upload patients without checking eligibility
